Q. Discuss the various forms of written Communication?

Ans. In the written form, it may need drafting of letters and circulars, memos, proposals and business reports or varying types and includes. Memo, office order, reports, Graphs/charts, circulars, staff newsletter, Fax, E-mail, Form/questionnaire, Notice, letter, Agenda, notes on Agenda, advertisement, Minutes of meetings, customer newsletter, invitation, Press release, leaflet/brochure/handbills, telegram and manuals.

All these forms of written communication are used in an organization relaying upon its needs. The notable point about the written communication is that it allows us enough time for planning the document we propose to prepare, taking into account the purpose for which it is being written. It also enables us to revise the contents if we search them unsuitable for the recipient from the point of view of clarity or interest. Information in the written form can be filed or retrieved at our convenience. The effectiveness of written communication lies upon the use of appropriate words, clarity of ideas, inoffensive language, coherent presentation and lucid style.
