Question: Depending on the type of conference that's needed we would set a tentative dates with at least a two week notice so that if the parent would need to change the date it wouldn't be a problem. I would set up a few days over a two week span of specific time slots for the parents to choose to come. The schedule will be visible to all parents so that they could see available slots. If the situation is a little more dire then I would reach out to the parents via phone and email. If need be I would reach out to the next of kin on the child's paperwork in case of an emergency. The parents will also have the option to choose from a zoom meeting, phone conference, in person conference. It would be better if the parents could at least meet with me in a zoom meeting rather than the phone conference if they are unable to meet in person.
