The first implementation activity you are required to undertake is recruiting interested people to take part in the program.

2. Match mentors with mentees.

You are required to implement your mentoring program in a way that can be observed and assessed in the classroom situation.

This activity involves using the criteria you described in your Mentoring Policy and Procedures to match mentors up with mentees. For the purposes of this assessment, the activity requires you to wrie a report on the people you know who are working in the area you have chosen for your mentoring program.

Make a list of at least three people you would consider to be candidates for mentor, and at least three who could benefit from being mentored, giving a short description of each.

You are then required to use the criteria you described in your Mentoring Policy and Procedures to make at least two matches between mentors and mentees.

Your report should clearly state how the criteria were used in each case, and whether you feel that the matches you have made will benefit all parties.

The report should be between half a page and one page long.

Save the document as Matching Report. Submit it to your assessor when completed.

3. Co-ordinate schedules for interviews and induction sessions.

Now that you have matched several mentors with mentees, you are required to induct these colleagues into your program.

For the purposes of this assessment, you will be inducting two colleagues from your course into the program in a roleplay situation.

Begin by considering what you know about the other people doing this unit with you. Although this will be a roleplay, it will be more productive for all involved if one of the participants could mentor the other in a particular area.

When you have selected the participants, check your selection with your assessor and determine when and where the induction will take place.

When you have collected the relevant information, contact the colleagues and co-ordinate their attendance at the roleplay.

4. Induct mentors and mentees into your mentoring program.

For the purposes of this assessment, you will be inducting two colleagues from your course into the program in a roleplay situation. They will then carry out their first mentor/mentee meeting with you observing and providing support when asked.

You are required to induct the colleagues into your program by first outlining the components of a mentoring program plan and then discussing the following documents with them:

  • your Mentoring Program Report
  • your Mentoring Policy and Procedures
  • your Mentoring Guide

Print a copy of each of these documents, and two copies of your Reporting Tool, to take to the meeting with you.

Your colleagues will have recently completed their versions of the documents, so they will be familiar with the themes the documents cover.

Keeping in mind that these are colleagues of yours, make sure you use appropriate language when providing information and encouraging discussions. During the induction, you should encourage the roleplaying students to establish a good rapport, mutual trust and teamwork as a natural part of their interactions.

When the induction has been completed, and your colleagues understand the resources that you have provided, they are required to roleplay a mentor/mentee meeting as part of your program. You may need to move the furniture to accommodate the change from induction to one-on-one meeting. Ensure that the roleplaying colleagues have a hard copy of your Mentoring Guide and a pen or pencil to fill it in. They should be comfortable, and you should be able to observe and hear them clearly. Your assessor will observe the three of you interacting.

The purpose of the roleplay is to give you an insight into how your mentoring program would function in the workplace, so ensure that your colleagues understand the context that the mentoring program will be conducted in. Feel free to add more details than are in your Mentoring Program Report.

Tell your colleagues why you have selected them from among your colleagues and how you see them interacting in a mentor/mentee relationship. Together you should determine what roles each of them will take in the roleplay.

When they are ready, your colleagues should work through your Mentoring Guide together, in the roles of mentor and mentee.

Taking into account that this is a roleplay situation, watch your colleagues interact and try to visualise the work colleagues you have mentioned in your Matching Report undertaking a similar meeting.

Critically appraise how your colleagues discuss each section of your Mentoring Guide and try to determine whether it would work well in the work context for which it was written. Take notes on your colleagues' interaction and whether any of your mentoring resources could be improved. You will use this data in the next activity.

When they get to the schedule and themes of future meetings, tell them to devise a preferred scenario. Assist them in determining whether their schedule would be practical in the workplace context.

When the roleplay participants have completed the Mentoring Guide, they should give the hard copy to you.

Thank them for participating in the roleplay. Ask each of them to fill out a Reporting Tool and give the completed hard copies to you.

During the meeting, you will need to demonstrate effective communication skills including:

  • Speaking clearly and concisely
  • Using non-verbal communication to assist with understanding
  • Asking questions to identify required information
  • Responding to questions as required.
  • Using active listening techniques to confirm understanding.

5. Write a mentoring program evaluation.

Following the meeting with your colleagues, you are required to evaluate your mentoring program.

You should develop your evaluation from a range of perspectives, so begin by reviewing the following:

  • The resources you developed for the program.
  • The completed Mentoring Guide.
  • The completed Reporting Tools.
  • Your notes from the meeting.

Use this data to evaluate your program, including:

  • Whether the program met its agreed outcomes. Keep in mind that the meeting was a roleplay. In this context, you are to evaluate whether creating the resources and carrying out the roleplay induction and meeting helped you to develop a mentoring program that you could implement in the area you have selected.
  • Key mentoring concepts and principles that became apparent during the meeting and could be adapted for use in future meetings.
  • Improvement opportunities for future mentoring programs.

Use the Mentoring Program Evaluation Template to guide your work.

When completed, submit the document to all members of the relevant management structures described in your Mentoring Report (your assessor)

Also submit the completed hard copies of the Mentoring Guide and the Reporting Tools to your assessor.
