a. Describe your feelings and your disappointment, but also avoid sounding angry.
b. Begin with a compliment, point of agreement, statement of the problem, or a brie review of action you have taken to resolve the problem. AIRA (A)
c. Provide identifying data.
d. Explain why the receiver is (partially) responsible/you are not (less) responsible (not apply)
e. Enclose a copy of any document (account, shipping order, return statement) to support your claim.
f. Appeal to the receiver's fairness, ethical and legal responsibilities, and/or desire for customer satisfaction.
g. Close by telling exactly what you want done: refund OR credit next purchase
