SCENARIO
You are an Event Management Planner for a large size Not for Profit Organization. You are tasked with planning and executing a fundraising event for various charities who you donate money to.
In January 2019 you received a telephone inquiry from a potential donor (Pure Genius Ltd) about your ability accommodate them with a table for 15 – 20 guests. The donor is a very reputable corporation within the community and they would like to see the following exhibits/themes: (i) Dinner and Dance, with French cuisine (the chef must be authentic along with the menu, which will consist of 5 courses); the dance section will have a live performer in the form of a relatively well-known jazz singer with a live band at the event. (ii) there will be a make shift casino area, along with roulette table, black jack and slot machines. (iii) There will be an auction of items donated from guests, who will pay $350.00 per head for their tickets, however, a table can be bought at reduced rate of a block booking.
The event will take place in the spring at the end of May, 2019
Question:
Entertainment – type has been dictated by the major donor.
Ensure you book someone (jazz singer) who is reputable, if you know of someone great. If not, get recommendations: references would need to suggest reliable, punctual and professional. Same for the live band.
Must request equipment requirements, audio/visual support. Communicate about staging set up/arrangement.
LAW: Heavily contractual. Everything agreed must be written and signed off. Terms and conditions must include, exclusion/limitation clauses, as well as penalties where breaches occur.
Authentic French Chef & cuisine. More or less the same as above in choosing.
