BSBADM502 Manage Meetings
Project 1
A management meeting for 12 section managers. The CEO of the company will attend.
- The meeting is usually held in the boardroom at the company's offices, but this room is unavailable. You will need to make alternative arrangements.
- Two of the managers will be coming from interstate to attend in person, while 3 will participate via teleconference.
- A guest speaker will show a video and talk on technological changes for the year 2019.
- Lunch will be catered for on the premises.
- In the afternoon, the participants will divide into 3 groups to develop ideas and consider their strategic needs for the upcoming year.
- Write out a meeting plan using the Meeting Agenda Template below to ensure that all the preparations for the meeting will be correctly organised.
Project 2
To be assessed as competent in this study unit the candidate must demonstrate the ability to:
• apply conventions and procedures for formal and informal meetings
• chair meetings in relation to agreed agendas
You will need to demonstrate:
• communication skills to:
• participate in sustained complex interpersonal exchanges and to interact with others
• listen to, incorporate and encourage feedback
• conduct oral presentations to a group, to consult participants and to answer questions
• manage and work with a group to construct an action plan
• chair meetings
• literacy skills to:
• categorise and organise information
• assess information for relevance and accuracy
• identify and elaborate on key agenda items and source additional information
• numeracy and time management skills to allow for sufficient meeting preparation
• problem-solving skills to choose appropriate solutions from available options
Candidates for assessment must demonstrate, at the required qualification level:
• Preparing for a meeting (for example prepare agenda and notify participants) completed in Part 1
• Conducting a meeting (for example chairing a meeting, ensuring effective participation)
• Following up on a meeting (for example distributing minutes) using Meeting Minutes

• Using communication skills to participate in a meeting
• Time management to ensure the meeting runs to schedule
• Culturally appropriate behaviour
• Application of legislative requirements relating to conducting a meeting
• The conventions of running and participating in a meeting
Tasks: Apply conventions and procedures for formal and informal meetings including:
1. developing and distributing agendas and papers
2. identifying and inviting meeting participants
3. organising and confirming meeting arrangements
4. running the meeting and following up
5. organise, take part in and chair a meeting
6. record and store meeting documentation
7. follow organisational policies and procedures.
