Case Study:

As a trainer or facilitator you are responsible for a team of office workers responsible for general office administration work for the company. This typically includes word processing; taking and producing memos and minutes from various meetings; sorting and distributing incoming mail; processing outgoing mail; receptionist duties: and filing documents in soft and hard copy.

A number of problems have been brought to your attention during your first week in the position. External customers have been treated rudely over the telephone and at the reception. Mail has been 'misplaced' and the general manager is upset because minutes of particular meetings conducted in the past year are often difficult to locate. On your first mention of the problem to the staff they tell you they do not really know what is expected of them. You are informed that they have been asked to perform duties for which they have had little or no training.

You are to supply at least one example of evidence of the ability to:

  • systematically identify and implement learning opportunities for others
  • collect feedback on team and individual performance
  • give and receive feedback from team members to encourage participation in and effectiveness of the team
  • collaboratively develop learning plans to match skill needs of individuals and groups
  • provide mentoring and coaching assistance to teams and individuals
  • monitor and review workplace learning

Determine development needs-

  • By systematically identifying and implementing learning and development needs in line with organisational requirements
  • By ensuring that a learning plan to meet individual and group training and development needs is collaboratively developed, agreed to and implemented
  • By encouraging individuals to self-evaluate performance and identify areas for improvement
  • By collecting feedback on performance of team members from relevant sources and compare with established team learning needs

Develop individuals and teams -

  • By identifying learning and development program goals and objectives, ensuring a match to the specific knowledge and skill requirements of competency standards relevant to the industry
  • By ensuring that learning delivery methods are appropriate to the learning goals, the learning style of participants, and availability of equipment and resources
  • By providing workplace learning opportunities, and coaching and mentoring assistance to facilitate individual and team achievement of competencies
  • By creating development opportunities that incorporate a range of activities and support materials appropriate to the achievement of identified competencies
  • By identifying and approving resources and time lines required for learning activities in accordance with organisational requirements

Monitor and evaluate workplace learning -

  • By using feedback from individuals or teams to identify and implement improvements in future learning arrangements
  • By assessing and recording outcomes and performance of individuals/teams to determine the effectiveness of development programs and the extent of additional development support
  • By negotiating modifications to learning plans to improve the efficiency and effectiveness of learning
  • By documenting and maintaining records and reports of competency according to organisational requirements
