Purpose         

Email is an important form of business communication to inform, persuade, and promote goodwill. The benefits of email include timeliness and accessibility. Popularized for its accessibility and time-efficiency, some users incorrectly employ a casual tone regardless of the context. Consequently, business communicators will convey a strong professional impression with a well-formatted email that has NO mechanical errors.

Your Task

You are the owner of a small, independent company that provides financial services for other small businesses. Your business has done well and has grown substantially over the past two years. Two years ago, you had 15 employees in ample office space, however, due to the growth of the business, you now have 30 employees. Working space is very cramped, with some employees sharing larger cubicles and four employees at desks in what used to be your conference room. In addition, the extra employees have caused the noise level in the office to increase since employees are often on the phone with customers.

You have been working to solve this problem and are happy to announce that you have arranged for a larger office in a nearby building. Not only will that new space enable each employee to have a new, separate desk and cubicle to work in, but there will be adequate space for future growth. In addition, the new space will include four conference rooms and a larger kitchen/lunchroom which will mean some employees will no longer have to eat at their desks.

The new space will be ready for a move on November 13. Employees are asked to pack up their computers and everything in their desks in provided boxes before they leave for the weekend on Friday, November 10. (Phones should be left on their desks as a new system will be installed in the new office.) All boxes should be clearly labeled with the employees' last names on provided stickers on at least the top and two sides of every box. They should take all personal items home on that date. Movers will be arriving on Saturday morning to take boxes over to the new office so that when employees arrive on Monday morning, they will have everything waiting at their new desks so they can unpack. There will be IT technical support people available on Monday to assist in setting up computers.

Your task is to send an email to employees letting them know of this move to new office space. If anyone has a problem being available on the packing-up day, they should let you know. You are also available if anyone has any questions.
