Assignment - Analysing and Designing To-Be Business Process for Swinburne Cares Foundation

Outline -  

This assignment requires you to  continue working  on the business and process(es)  of the Swinburne Cares Foundation. As the current  donation  process(es)  do  not work  efficiently, management wishes to improve the process(es) by using the best practices and methodologies.

The purpose of this assignment is to improve the process(es) in a way that addresses the problems.

Your Tasks -

Part 1: Level 1 & Level 2 Business Process Modelling

Model the current process using the Level 2 BPMN diagram(s). Correct, as needed, the Level 1 BPMN diagram(s) selected from one of your group members based on the feedback given by your tutor. Use this/these as a basis for Level 2 diagrams. All modified models should be put in an appendix.

  • Correct the Level 1 AS-IS BPMN diagram(s) you drew in the previous assignment based on the feedback given by your tutor (A set of corrected level 1 AS-IS models should be in the report appendices).
  • Convert Level 1 AS-IS BPMN diagram(s) from assignment 1 into Level 2 AS-IS BPMN diagrams. This time you should add all features which you were not able to present by using level 1 BPMN in assignment 1 (A set of level 2 AS-IS models should be in the report appendices). Also, in this assignment, you are required to provide details for the subprocess - Regular Donation process (which was a bonus task in assignment 1).
  • Design a new process(es) (TO-BE models) using BPM level 2 modelling which addresses the problems you have identified, and you suggest can feasibly be implemented. (A set of level 2 TO-BE models should be in the report appendices).
  • All level 1 & level 2 models should be labelled correctly in the model file (a Bizagi file should include all models).

Advice on modelling format:

The following requirements are for the as-is and to-be model(s).

  • Model the process in BPMN using the modelling software. You have to copy all models into your report appendix. The original modelling file is also required to be submitted through the modelling submission link.
  • Each diagram should occupy no more than one page.
  • All models in the file must be printable as is, within margins and all diagram elements legible. Layout your diagrams to ensure all contents are readable when your submission is printed on A4 paper. Check the final result is readable. Indecipherable content cannot be assessed and will attract a mark of zero.
  • The models must be formatted in a logical and elegant way. The models should adhere to the qualities mentioned in the lectures.
  • You must have a clear layer of processes which should include main and a set of sub- processes.
  • The process modelled should match what you have described in your analysis report. If the suggested solutions do not impact on how your models look, you need to provide a brief explanation.
  • The views of models must be consistent with each other, enabling the whole analysis to make sense.

Part 2: Business Process Improvement Recommendation

You are required to provide recommendations for the possible changes to the business process(es) or to the way they are managed which you consider will add value to their business and why they are more efficient and effective compared with the existing models.

You should carefully read the diagrams and link them to the key issues and consider if there are possibilities to alter the diagrams based because of your recommendations for solving problems (for example, combine the tasks, reduce double handling...). If so, you should provide the new to-be process diagram(s). If not, then should indicate why they do not affect the models.

For each issue selected, state the Best Practices (these can be selected from Appendix 1 and details can be found in lessons 5 & 6 Overviews) you will apply. For each Best Practice, describe how it is applied and explain how your solution solves or improves the issue identified. Please keep in mind that many different best practices might be used for one issue or problem. Your discussion should cover the following:

a) The issue being considered.

b) Best Practice employed. Choose from the Best Practices discussed in the lectures.

c) Describe how the Best Practice is applied to the process and how it addresses the problems.

d) Describe the possible advantages and any other issues addressed at the same time.

e) Any disadvantages.

To discuss above, you may need research to find relevant references to support your arguments.

Summary of Part 2: It should include two parts:

1. A summary which provides a holistic picture of how you have approached the problems or opportunities and of how Swinburne Cares Foundation Donation Business Process(es) will be improved if your recommendations are implemented.

2. You need to provide a brief plan on how to adopt your suggestions for solving business process problems/issues.

Part 3: Group reflection Video or Audio Presentation

This part of the assignment is intended to extend and explore students' ideas about business process analysis and design, project management and teamwork and at the same time to determine the current limits of students' knowledge, skills and understanding. The group reflection video or audio presentation should include the following:

1. Each member should briefly summarize one key thing you learned from this unit (be brief, but it is important to link to what you didn't know before, but you know now) and how this knowledge can help you with your future career.

2. Discuss a wide range of issues related to the project and teamwork, such as:

Briefly reflect upon your own experience of participating in the group until now. Did it help you? Was it worth the effort? How could it be made to work better for you?

What went right or wrong? If asked to do it again, would you change anything to make the group work more enjoyable and of benefit to your study?

Briefly discuss how if you were a member of a discussion and support group, what strategies and methods you think you could use to minimise or overcome misunderstandings that might occur within your group as a result of language or cultural differences.

Briefly discuss how if you were a member of a discussion and support group, what strategies and methods do you think you could use to overcome difficulties that might occur within your group because one or more of your group members are not participating in an appropriate manner, for example, insufficient work or inappropriate behaviour.

Briefly describe and discuss one topic, issue or question where you think that your knowledge and understanding was clarified, expanded or improved by contributions from other members of your group.

Briefly describe and discuss one topic, issue or question where you think you made a significant contribution to the knowledge and understanding of other members of your group.

The purpose of this assignment is to improve the process(es) in a way that addresses the problems. Firstly, the project team needs to finalize the key problems faced by the business and the process(es) which each group member has already identified in assignment 1. This requires you to discuss each member's key problems/issues' list and then decide on the 3 most important problems/issues. You need to provide a clear and detailed explanation of your decisions. Please note that you should not only advise management on what they are but most importantly, why they are problems. Also, discuss how important it is to solve these problems. You have to be realistic and need to consider business capacities when you provide suggestions and solutions. Similar to assignment 1, for this assignment you are asked to present a report (no more than 3000 words - excesses are NOT looked upon favourably).
