Project Plan Development for a Project of Your Choice With your assigned group members, select a project (actual, completed, to be completed or under planning - this may include a project you are actually working on or one you are thinking of implementing). Many thousands of example projects are available in the literature and online.

Inform your lecturer of the name of your project before the end of week 6 of the term via email. This is your responsibility and it carries a penalty of up to 30% of the final mark of this assessment if you fail to inform your lecturer of your chosen project.

Conduct research into similar or related projects to find as much information about what would typically be involved in such a project. Find appropriate templates for the different project management tools and customize them to the unique needs of your particular project.

The project plan should contain:
1. Project background 2. Project charter
3. Project deliverables
4. Approved budget
5. Project scope 6. Risk management and minimization plan
7. Resourcing plan
8. Stakeholder engagement and communication plan
9. Gantt chart

Examples of relevant tools include - SWOT analysis, SMART objectives, scope statement, work breakdown structure, stakeholder engagement matrix, communications matrix, risk register, RACI, project closeout checklist, lessons learned document

Project Background:

Magnetic Island is a 52km squared mountainous island 8km offshore from Townsville, QLD, Australia with around 2200 residents. The island includes a large national park, a bird sanctuary and several walking tracks. This island is established as a holiday destination with several hotels in operation including; Peppers and Sails, however currently no eco-friendly style hotels or resorts. To get to the island tourists and residents are required to take a ferry to Nelly Bay and from here they are required to catch a bus or taxi to where they are staying. Our resort is planned to be built on the largest bay on the island, named Horseshoe Bay. This spot is ideal for water sports, and sailing and fishing trips are regularly run from this location.

- How the group got together or why we are doing this resort/as eco-friendly

RISK MANAGEMENT:

Potential Risks:
- Labour costs
- Transporting material (no road/shipping costs)
- Environmental damage during building (70% of island is national park - need council approval)
- Health risks - working outside
- Natural disasters/weather - tropical climate/storms - conscious of the dry & wet seasons
- Safety hazards
- Security during construction - theft

LABOUR & MATERIAL SOURCING/COSTS:

CAUSE

EFFECT

MITIGATION

-        On an island (isolated)

-        Duration of construction

-        Higher then normal costs

-        Space restriction (storage, etc.)

-        Cost to keep staff on island or travel between island and mainland

-        Hire people from island/source materials from island if possible

-        Good planning and organisation (shipping everything at once to cost less)

-        Choice of labour/material source (outsourced?)

-        Contract negotiations

RISK

CAUSE

EFFECT

MITIGATION

HEALTH RISKS:

Likelihood: likely to happen at some point during construction or once resort is built

Consequences: moderate - can delay the project dependant on how severe the injuries are

         Weather

-        Safety & security on site up to standard

-        Jellyfish season, Snakes, spiders, wildlife in general, etc.

-Tropical climate quite drastic and changing quickly. Storms could cause potential harm to workers as would extremely hot weather

-Duration of project extended because of changing weather conditions

-Having to transport injured employees to the mainland (no hospital on island)

-Schedule outdoor work in dry season & have shade available

-Hydration stations available for workers

-Helicopter available from island (in case of serious injuries)

NATURAL DISASTERS/WEATHER:

Likelihood: unlikely as there is only a small chance that a natural disaster will occur

Consequences: in the case of an event the consequences will be major and in some very rare circumstances is may even be catastrophic to the project

-        Weather

-Damage to the site/construction

-Extended duration of project

-Damage to resort once opened

-        Planning in least likely parts of the year, e.g. dry season for outdoor construction

-        Protection/reinforcement of the site

-        Insurance/ proper planning for weather conditions on island & evacuation plans for guests & staff

SECURITY ISSUES:

Likelihood: moderate as there is a good chance it will happen at some point during construction or once the resort is built. Hopefully security measures in place will deter this

Consequences: to this risk are minor

-        Theft

-        Trespassing

-Loss of money, materials and time

-Potential injuries to trespassers

-        Site is secure and monitored regularly during construction

-        Install security cameras and procedures once resort is opened

ENVIRONMENTAL DAMAGE:

Likelihood: moderate as there will be some damage done during construction/removal of nature to clear space for the resort

Consequences: minor as the hotel will be environmentally-friendly and have a minimal environmental footprint

-        Pollution

-        Removing nature to clear space for resort

-Pollution damaging the air and water in the area

-Deforestation

-Removal of animal habitats

-        Building an eco-friendly resort, benefits in long run

-        Planting trees in other areas

LABOUR & MATERIAL SOURCING AND COSTS:

Likelihood: this is very likely as the project is secluded

Consequences: minor - research needs to be done to determine most cost-effective labour and material sourcing to minimise costs

-        On an island (isolated)

-        Duration of construction

-Higher then normal costs

-Space restriction (storage, etc.)

-        Cost to keep staff on island or travel between island and mainland

-        Hire people from island/source materials from island if possible

-        Good planning and organisation (shipping everything at once to cost less)

-        Choice of labour/material source (outsourced?)

-        Contract negotiations
