You will complete questions for purposes of formal assessment as per the questions outlined in the questioning record below, and any additional probing or clarification questions required by the assessor.

The Knowledge Activity is designed to confirm your competency for all the required knowledge in the unit of competency.

Task Details

There is no restriction on the length of the question responses, or time restriction in completing the assessment.

It is anticipated that the assessment will take approximately 4 hours to complete.

The assessment may be re-attempted on two further occasions (maximum three attempts in total). All assessments must be resubmitted 3 days within receiving your unsatisfactory grade. You must clearly indicate “Re-submission” on your resubmitted work.

You must complete all questions unassisted by the assessor or other personnel but may refer to reference material as may be needed.

All questions must be answered satisfactorily for the assessment to be completed satisfactorily.

For any assessment conducted that is incomplete, or without satisfactory performance, the assessment will need to be completed again after further training support. This may be simply to focus on question areas not achieved in the prior assessment.

Evidence to be collected

Answer the activity in as much detail as possible, considering your organizational requirements.

In undertaking this assessment task, you as the candidate are providing consent for your work to be reviewed for the purposes of formal assessment in the unit(s) of competency. If you have concern regarding this permission, please discuss this with your assessor prior to undertaking the task.

Task – Performance and Skills Assessment

General instructions

Scenario:

You have been working with a marketing company, Molly’s Marketing Maestros for the last 6 months.  Since you started, you noticed a real lack of collaboration and innovative idea sharing within the workplace, a vast difference from your previous role with a much smaller recruitment agency. 

The office is very stark, with high dividers in between each work station making it very difficult to have any sort of discussion with a colleague.  The meeting rooms are also small and don’t have any whiteboards or screens or projectors.

Your manager has noticed the same thing and has asked you to lead a project of making some changes to the office.  He wants it to be a collaborative effort with the other team members but wants you to drive it.

This activity has 3 parts:

Part A – Team Set Up

Part B – Project Plan and Actions

Part C – Supporting Team Members

Part D – Reflection

Part A – Team Set Up

You are part of the campaigns team which is made up of you and 2 others.  You can also bring in 2 others from the office to assist and be part of this project.  Your first task is to set the direction for the team, to understand how you can all contribute and determine who else you need to get into the team.  You want to also work out how to get the most out of each member.

• Write a short statement outlining what the team needs to achieve. (50 words)

Now that the team is together and you all understand what the project is and how each member can contribute, it is time to decide on what the team will do.

• Jointly establish ground rules on how the team will work.  List the ground rules in the following space provided below (at least 5).

• As a group, brainstorm all the ways you can create a more innovative and collaborative workplace.  Come up with a list of at least 5 ideas.  Select and describe 3 that you all agree to implement.  Describe what each idea is and how it will contribute to a more innovative and collaborative workplace.  (30 words each)

• Describe how you narrowed the list down from 6 to 3.  How was each idea challenged and tested by the group and how did you come to an agreement on the final 3 ideas?

We narrowed down the list by checking how the idea perfomed compared to others, we made sure that the ideas fulfilled our original goal set and we looked if the idea could be improved.

• As a group and based on the key contributions from Q3, divide up and come to an agreement on who should take responsibility for the key project areas.  You must include the following and any others that are specific to your project.

• Project Lead – overall management, ensures guidelines followed and timelines adhered to, check off action items

• Admin – organize meetings, book rooms, send invites, distribute agendas and minutes

• Documentation – minute taking, report writing, filing

• Consultation – consult with rest of staff, get feedback and present options and solutions to staff

• Procurement – purchasing of items

• As a group, put together an action plan using the Action Plan Template.  List all the required actions, a due date and who is responsible.

• Describe how you will include activities in your project that will allow the team to contemplate, discuss and challenge any aspect of the project and include these activities in your action plan.  Include, for example, meetings and any planned training. Include at least three activities (50 – 100 words).

The activity in our planned we will have a discuss objectives and explain the condition under which task will be performed. Team members will summarise key points and draw a conclusions of the activities.

Part C – Supporting Team Members

So far so good.  The team has generated some great ideas, everyone is collaborating well, you have an action plan and everyone knows what they now need to do.  You want to ensure that you maintain the momentum.

• Describe 3 ways that you can model behavior so that you can support the team’s innovative practices (100 words)

1. Encourage alternative points of view

Looking at different options to address issues and different ways of completing tasks can keep a workplace vibrant and more open to new ideas.

2. Inspire people to voice their opinions

To take the advice of employees when they suggest how they can improve operations, there will be a noticeable increase of new ideas.

3. Reward innovative ideas

Holding employee contests to incorporate new ideas is another way to create a team attitude within the company. People will go the extra mile when they feel respected and recognized.

• Do your own independent research into workspaces that encourage innovation.  Find one idea that your team hasn’t yet raised.  Describe your idea in an email that you will send to the other team members.  Use the email template below.

Part D - Reflection

• Reflect on the team’s performance.  Write a 250-word report addressing the following items:

• How did the team perform in general?

• How did the team communicate?

• How did the team come to agreements?

• Was there sufficient and rigorous discussion?

• Do you feel the team got the best outcomes in the most effective way?

• What are the challenges of being innovative?

• Fill out the feedback form provided in Appendix 2 for each team member.  There are 2 forms included in Appendix 2, one for each team member.  Each member of the team will also fill one out for you.  Collect feedback forms for your performance from each member of the team. (Please ensure to enclose in your submission the 2 completed Feedback Forms)

• As a group, meet with your assessor to discuss your own reflection on the team performance and the feedback forms.  Reflect on the feedback from the other team members and your assessor and answer the following questions.

• List 3 things that the team could do differently to be even more innovative and productive in future.

• List 3 things that you can do personally do to help create and maintain a more innovative and collaborative work environment.

• How can you incorporate these improvements into future projects and activities?

• Describe how the team will celebrate the successful completion of the project.  Have at least one option that includes the rest of the office staff and your manager.

Morning Breakfast in a restaurant paid by the company

• The project has been a success.  Your team has successfully implemented the ideas.  Your manager and all the office staff are happy with the changes and the work environment feels much more creative, innovative and collaborative. 

As the project leader, draft an email that you will send to all the staff informing them of what has happened, the effort that has gone into the changes and the final result.  Also invite all the staff to the celebration you have identified in Task 5 above.
