In order to do this, you need to understand the reason why your client wants to host this event and then present your client with an event overview to show you understand why they want to do this event and to ensure you are aligned. You will also create a preliminary budget, provide suitable venue options, and prepare a Status Update/Event Checklist on how you plan to get this event done!
Your REPORT should include the following. As the lead Event Planner, you will need to provide:
1. Event Overview
• Provide a description of the event you are planning
• You already have some information. What else do you need to know in order to start the planning to help your client achieve their objective(s)?
2. Who are your Guests - indicate all the details about your audience
• You have been provided with some information, however, use your imagination to add more to profile your audience.
3. Prepare a Preliminary Budget
• Using the template provided via email by the teacher, fill in the budget template. Use the information you find when you're researching about the venues such as the cost of food, room rentals, etc.
4. Venue
• What are three venue options available in the GTA or Niagara that would be suitable for this event? Create a list for your client to pick from
o Based on what the client wants to achieve and who the audience is, what venues would make most sense for this event?
• Why would you recommend these venues?
o Explain why the venue makes sense. For example: is it a feminine looking venue, is it a venue that has built-in technology, etc.
5. Prepare a Status Update document and
• Include all the items/tasks you will need to achieve to make this event successful
• This document is like your event checklist. Include all the tasks for this event, such as food, A/V (if applicable), gifts, invitations, etc.
6. Prepare a draft Floorplan
• You can use PowerPoint to create this you can also print the floorplans provided from the venue and draw your floorplan
Scenario 2:
You are the in-house Event Manager at a Technology company. The Developer Experience Group is interested in hosting their second Start Up in the City meet up for Entrepreneurs in Toronto. They are expecting 100 people. They want to host this event from 4pm - 6pm to include a presentation and networking. They want to take the group somewhere cool. Last time they had this event it was at Brassaii.
