Background
The project organised by the Pink Ribbon Alliance team is called "The Breast Cancer Fundraiser Gala Dinner". It is a one-night charity event where attendees will be able to raise both funds for treatment, research, and development while also raising awareness. The purpose is to create a memorable and impactful night for donors, survivors, sponsors, and medical professionals who share the same mission - to fight against breast cancer. The setting of this gala dinner consists of guest speakers, food, entertainment, and a learning segment to honour the breast cancer survivors and encourage other attendees to donate. The team's goal for a successful fundraiser is to raise at least AUD 5,000, ensure smooth execution, maintain safety compliance, and achieve a strong attendance of 100 attendees. The main project deliverables are securing an appropriate venue, catering services that can serve 3-5 courses, obtaining sponsorship deals, acquiring a legal permit on health and safety insurance, having suppliers for decoration and entertainment departments, and launching a marketing campaign. The project's priorities are focused on time as a constraint, ensuring enhanced quality and safety, and maintaining acceptable costs. As for sustainability, the team will ensure to adopt the principles throughout the process by selecting an eco-friendly catering option that utilises recyclable materials for the décor, implementing digital invitations instead of physical ones, and practising low-waste management.
The total budget for this event will be AUD 15,000, which will be divided accordingly among catering services, venue hire, equipment, marketing, and human resources (such as team, sponsors, volunteers, vendors, and entertainers), as well as entertainment (see Appendix 2 for detailed budgeting). This event will not be providing any post-event or follow-up fundraising activities.
The tools that support this step process are the severity matrix, risk assessment form, response matrix (mitigating/avoiding/transferring/accepting), and documented responses. Risk Management
Approach and Time Sensitivity
The gala is a one-night event that must end at 21:30. This means that the schedule is fixed, and any emerging risks cannot affect timelines (Larson & Gray, 2021). The risk process method uses the following steps: identify, assess, respond, and control (Larson & Gray, 2021).
The tools that support this step process are severity matrix, risk assessment form, response matrix (mitigating/avoiding/transferring/accepting) and documented responses.
