  • "[TYPE THE COMPANY NAME]ROLE OF COMMUNICATION INOPERATIONS OF BUSINESS[Pick the date]The role of communication is inevitable in the day to day operations of business. In this complexbusiness world the message that a person sent may not be received by the receiver at the intendedtime, in the intended meaning. Sometimes the full message itself is lost. That means there arecertain factors which restrict the efficient flow of information from one person to another(communication). These factors are collectively termed as barriers to effective communication.Due to such barriers the managers face several problems. There are several barriers that affectthe effective flow of communication. A manager needs to overcome all these barriers, in order tomake the communication efficient. These barriers can be summarized as follows Gender differences become one of the most important barriers that a manager faces in thebusiness communication. Men and women have different perceptions, likes and dislikes, motives. So it becomes a big task for the managers to understand his subordinates, and he has toconvey the same message in two different ways. It is a fact that men and women communicate indifferent style for different reasons. Some men used to talk in autocratic manner with women andthey try to maintain their ego and pride. Men are normally impatient in nature. And there is apossibility for communication barrier when men lost his patience. So men need to learn patience. And women also need to practice communicating in short phrases. There are certain naturalbarriers of communication between women and men. So first of all a proper understanding ofeach other is necessary. And a manager should try to avoid the words like “he, she” in oralcommunication, as it disgust the subordinates.http://debrathompsonroedl.com/barriers-to-effective-communication-in-an-organization-2/Language is the prime factor for every communication process. Sometimes languagebecomes a barrier that work against the flow of communication within the organization. Foreign workforce has become a part of all the organizations, especially in the field of construction andmanufacturing. The language barrier is the result of lack of knowledge and vocabulary. Thebreakdown of language barriers ensures more productivity and a good work environment. Thiscan be done by arranging the shift of workers in demographic manner, use boards and notices inthe common languages of employees and also in English. Another problem in the language isthat, every word has two meanings one is denotative (literal) and connotative. Connotation issubjective in nature; it changes from person to person. Therefore it may create a differenceinterpretation of the message. An organization is a group of people from different regions, having different social, economicculture, working together for the attainment of organizational objectives. So there is variety ofculture. Human perception and behavior is influenced by his culture. Stella Ting- Toomey, aprofessor of human communication studies California state university, classifies these culturalbarriers into three factors.First one is “Cognitive constraints” (frames of references that providea background for comparing the new information). The second is “behavior constraints”, thatmeans proper behavior for different culture is different and it affects the verbal and non verbalcommunication. And the third one is “emotional constraints”. That means the emotional stabilityof different culture is different. Some cultures are very emotional. They freely express theiremotions. Other culture tries to hide their emotions and feeling from others. It is difficult tocommunicate with peoples having different cultural background. There may bemiscommunication, when we assume that the other people’s attitude, behavior and culture isvery similar to that of us. Thus the same words will be different things for persons from differentcultural background. Therefore we must understand that everyone will communicate and behave in the same manner with us. Therefore a manager must be aware about the cultural backgroundsof his subordinates.http://www.colorado.edu/conflict/peace/problem/cultrbar.htm Physical barriers are another important barrier for the efficient flow of information. This isoften due to the nature of the business environment. The important physical barriers ofcommunication are environmental physical disturbances, poor hearing, physical health, distanceetc. Environmental physical disturbances include noise, time and distance etc. noise refers to thetraffic nuisances, loud speakers and other noise of the machines etc which makes the listenervery difficult to receive the message. In order to avoid these noises the machinery must beupdated as per latest technologies available to reduce the noise, and must be oiled properly.Conventional typewriters must be replaced. Another physical barrier of the communication istime. If two persons do not communicate each other for a long period of time, then there may bea chance of communication gap between these two. This communication gap ruins effectivecommunication. Otherwise a phone call in the midnight will not result in the goodcommunication, why because it irritates the receiver. So time factor is very important foreffective communication. Another factor of physical barrier is distance. The distance between thesender and the receiver certainly creates a barrier for the communication. The use of internet andtelephone break this barrier to an extent. But sometimes the distance also becomes a majorproblem for the communication. The physical health of the person is also plays a major role ineffective communication. If the sender or receiver does not have good physical health he will notbe able to transmit or interpret the message properly. http://www.mbaknol.com/business-communication/barriers-to-effective-communication-in-business/ A manager should identify these communication barriers before communicating. Use thefeedback, to ensure that the message is properly communicated. Another important part of thecommunication is listening. Listen properly to understand. Then only communication will beeffective. In an organization there are persons of different educational level and differentbackground. So a manager should try to use the simple words, and should try to avoid technicalterms while speaking to a lower lever employee. "
