TEAM BRIEFING: Shortlisting Candidates for Communications Position Kaleidoscope Consulting
SCENARIO:
You are a member of a self-managed work team at the consultancy organisation Kaleidoscope Consulting (KC), and your team has responsibility for hiring a new team member. The current team has three to five members and you will all be jointly responsible for making the decision about who is accepted into the team. You need to select a shortlist of five people to interview from the longer list of ten people compiled by Brophy Personnel Solutions.
Before you meet to discuss your shortlist, each member of the team must read the file on each candidate (this includes each applicant’s CV, letter of application and statement that responds to the selection criteria) and evaluate each candidate according to how well they align with the position description and person specification documents.
You will also view video material provided by Brophy Personnel Solutions to assist your decision-making. You will be reviewing 10 candidates who range in age and experience, but all have strong customer service, administrative and generic team skills. You will need to decide who you think would work best in your team.
COMMUNICATIONS OFFICER
This role requires a team player, with some experience in communications and public relations. Responsibilities include implementing effective communication campaigns that support KC programs, initiatives and promotions. Contribution to the maintenance and production of internal communication devices including weekly newsletters, email and noticeboard announcements, and the quarterly employee magazine and internal brand management are also a part of the job.
The position requires a dynamic individual, ready for challenges within a high-growth organisation. Communications include internal and external clients. Check out the position description and person specification document - located in the Assessment 2A folder.
NOTE: The person specification is an internal document, not for distribution. It provides additional information to help you select people who will be a good ‘fit’ for the job.
TASKS: Individual Shortlisting :
Go to Kaleidoscope Consulting’s office by clicking on the logo below (or using the widget on the right-hand side of the unit's homepage). Enter reception and click on the meeting room on the left, behind Felicity the receptionist.
Review candidates details via the top two drawers of the filing cabinet. The aim is to familiarise yourself with the candidates, focusing on their interpersonal and problem-solving skills while also considering their body language and other non-verbal communication.
Read each of the ten candidates' letter of application (these include their CV, cover letter and response to selection criteria) by clicking on each candidate's image in the second drawer of the filing cabinet. Make note of your top 5 candidates based on the information provided in their applications and how well it aligns with the type of person KC is seeking to employ (use the position description and person specification document - e.g. how well have they responded to the selection criteria?)
Watch each applicant's individual one-minute personal video statements by clicking on their image in the top drawer of the filing cabinet.

Note: the audio can be difficult for this video - try using headphones so you can listen to one group through one ear bud, and the second group through the other
Now re-consider which candidates would be in your top 5 list, and how well their attributes (from the videos) and skills and experience (from the letters of application) align with the type of person KC is seeking, according to the position description and person specification document (e.g. how well did the candidates demonstrate initiative, did they show capacity to work well with others etc.).
Group Shortlisting - Meeting (completed in class or online):
1. See the Week 6 Briefing for information about joining a group through the Tools menu (on campus students will do this in class) - your tutor will also explain this. Groups should consist of no more than five (5) students.
2. Participate in a group meeting (in class, or via your group's discussion thread if you are a cloud student) to decide which 5 of the 10 you will, as a group, shortlist for your team.
This task requires that your group members work together to negotiate and come to a unanimous decision on the top 5 candidates in priority order.
The group must provide reasons for choosing the 5 candidates and the order in which they are placed. Focus on how the individuals would fit the job outlined above, in areas of motivation, teamwork and communication.
3. Once your group has determined the top 5 candidates, provide the group report and individual reflections as detailed.
PART 2 - INDIVIDUAL REFLECTION
Write a 250-word reflection on your group's discussion process.
Reflective writing should not only include a description of what occurred, but should critically analyse and evaluate your experience. The purpose of this is to help you identify both what worked well and what areas could improve so you are abl to more effectively implement collaborative measures in future groupwork.
There is no template for this reflection, but the below headings provide a useful guide to structure. Deakin's study support services also offer guidance on reflective writing.
