Perform research on the topic of personal work planning. In your own words, explain the importance of creating and maintaining personal work plans. The example that I have used in this question is based on my previous job experience as a billing / office administrator in a crane and heavy transport company.

A. What were the most important activities that needed to be achieved today?
The major duty of this role was to complete everyday billing and invoicing. In additional, part of the role is to be receptionist, as we are taking bookings at the depot it is very important to not miss any phone calls from potential customers. Therefore, phone answering need to be put into the first priority.

B. How do these relate to my job description, responsibilities and accountabilities?
The job description is billing and office administrator which undertake a range of functions to make sure the administration activities within an organisation run smoothly. The functions including billing, phone answering and report / communicate with head office.

C. How do these related to the overall objectives and goals of the organisation?

By complete my everyday tasks, will help organisation to achieve their sales, maintain good relationship with customers and efficient billing process.

D. What measures of success apply to these activities?
Multitasking skill is needed as phone rings constantly, to be success on this role is it important to manage tasks from time to time as there is constantly interruptions.

E. Was my time used effectively to contribute to the achievement of these tasks and activities? Why or why not?
As there is a systemized time schedule that was set up in the first place, my time used effectively to achieve these tasks and activities.

2) Use the personal work journal you created in question 2 of this assessment. write a short report reflection on how effective you are at personal work planning and organising. ( 1 page maximum)

Personal work plan include the key accountabilities and responsibilities of the individual's role which reflected the individual's job description. By doing personal work planning, the work requirements of the role can be addressed within the right timeframes and right activates are being completed (Hughes, 2010).

To develop a good personal work plan, it is important to have a clear understanding of the job role requirements and tasks that need to be done. Secondly, set the individual goals to achieve the KPIs of the job role and overall contribute the organisational goals. Based on the work journal from question 2, job role requirements are clearly stated and tasks have been allocated into each day based on the timeframe. The personal work plan sat up based on the time schedule request by the company and information handed from the person previously doing this role. By following the tasks on the timesheet, it helped me to pick up the job quickly at the beginning. As times goes and more experience gained during this job, I have changed the tasks around the schedule to meet the maximum efficiency in my own way.

As it was mentioned earlier, phone answering is the first priority of this job as it is important for the business to take every business opportunities. However, taking incoming calls consistently will affect the efficiency of working on the other tasks. In order to enhance individual effectiveness, multitasking skill is and time management skills are required

3) Based on your what you've learned from this chapter, design a number of recommendations and strategies, that you can implement in your personal work planning and organising to improve any areas of your work performance and the management of your individual time. Indicate how each of these recommendations and strategies will enhance your capability to plan and organise work. (1 page Maximum)

-Collect employees' timesheets daily
Every Monday, wages base employees' weekly timesheets need to be signed by manager and entered into payroll system. However, some employees forgot to hand in their timesheets and this will delay payroll process. To avoid this situation, I would recommend collecting timesheets everyday and making sure all timesheets have been collect before Monday.

-Minimise mistakes on billing invoice
Billing is the second important role of this job, and it is important to make sure minimum mistakes on the invoices. It is time consuming to getting feedback from customers and re-issue invoices.

-Self-evaluation
Getting feedback from peers and clients will address underperformance area, improve individual performance and develop potential opportunities.

4. Using a table, create a list of personal priorities and demands that you need to manage on a regular basis. For each one identify the following:

c) Whether you actually completed the priority or demand
d) For those you completed, reflect on how you feel about these.
